Letter for Rejecting/Denying a job offer

Author:     Member Level: Gold    Points: 15 (Rs 15)

Sometimes you reach a situation in life where you have to make a choice between two equally appealing options. This is the kind of dilemma one faces when having to accept a job offer from amongst the very best of offers that you have received. Since you would be accepting only one, you have to inform the others in writing.

This should be done without any delay and without sounding condescending and arrogant. The tone of the letter should be polite and courteous as you may want to work with them somewhere down the line. Deny the offer tactfully with scope for any future association.

Besides thanking the company for the job offer you must provide a brief reason for your denying it without divulging too many details. Do not forget to thank for any extra favors extended to you during the selection process.

The following letter will give you some pointers to proceed.

Sample Usage

Mr. A.R. Rao
H.R. Manager
Goldman Sachs Pvt.Ltd.
Bangalore-560038
India

Dear Mr. Rao,

It is my pleasure and privilege to receive an offer for the position of a Business Analyst in your company. I am aware of the fact that you have very high recruiting standards and rigorous procedures and I am deeply honored to have been short listed for the offer.

I enjoyed the interviews and interacting with the panelists and would also like to thank you for facilitating my visit to Bangalore. It gave me an opportunity to get the feel of the working environment besides familiarizing me with the various avenues and projects.

It is with the deepest regrets that I am informing you of my inability to join your company. I have an offer from ‘……….’ which suits my profile and interests better. I am more prone towards a research based working environment and keeping in view my future plans of pursuing a Ph.D. I think this may not be the right time for me to enter a finance based concern.

I hope you would understand my predicament. I will look forward to being a part of Goldman Sachs in future. I thank you once again for the offer and wish you all the very best.

Yours truly
