Issues with our email system

You may be aware that our Email Invitation system has not been working for past 6 months or more.

Last year, our web hosting company asked us to remove the invitation email system since we have been sending too many emails through their mail server.

Then, we paid several hundred dollars to another email company and subscribed for their email service for a year. However, they locked us out after few months due to large volume of emails. And we lost the money we paid to them.

2 months back, we signed an agreement with another email provider and paid several hundred dollars again for email service to send our large volume of invitation emails. However, Hotmail and Yahoo refused to accept any emails from us. So we lost the money again.

I negotiated with our hosting company few months back and they allowed us to use their mail server for basic email service like registration welcome mail, validation code email, forum auto responses etc. That worked for few months.

However, they locked us out from any kind of email sending from last week saying most of our members are marking our mails as SPAM and so services like Yahoo and Hotmail are considering their server as spam server. This happened just because most of our members mark our mails as SPAM.

Today I had several hours of negotiation with our hosting company. They finally agreed us to use their mail server again to send very minimal number of emails per day.

In order to limit the number of emails, today onwards, we will not be sending any automatic emails to forum responses unless you are the person who posted the original question. When a response is posted to a question, only the person who posted the original question will receive an auto response and not the other members who posted responses there.

This is applicable for all the sites hosted on our server.

I have a request to members - do not post our messages as SPAM. That causes serious problems for us.

Hello Tony Sir, in fact I was wondering why the alert messages were not coming, and further to say the alert messages which were used to come to our email id were of advantageous, not only as a member it could have helped the editors, where they can check the authenticity of the responses, whether it could have been copied one or not, but now all the threads has to be checked, as new responses will be posted quite often by the members.

Mohan, thanks for the understanding.

I just have one suggestion for you. Please avoid using the unnecessary dots in your messages. You have used the ..... several times in your short message, which is unnecessary and make our forum un professional.

Hi Tony, Good implementation.

Nice work in fact because many a times my email would fill up just with ISC forum responses mail itself. By this implementation you have made 2 problems clear in a single stone. One is the problem with your webhosting companies and another is marking ISC messages as SPAM.

Hi Tony,

Thanks for your clarification. I was wondering for last two days about the emails from ISC and even from the Spider sites. Sending huge number of mails from a site is not a small job. So your effort in this matter is highly appreciated. One suggestion, Kindly limit the referrals or invitations per member so SPAMMING can be avoided in future. Few days one or two such instances came to the notice where members are creating fake IDs through referral to earn money.

@ISC Members: Kindly don't post any unnecessary messages or posts in any section, which may result such problem in future again.

@Mohan: Buddy, don't post so many news items in the forum as everybody can get them through new sites or watching Tv. Posting such messages you are indirectly contributing for problem to the site. Hope you can understand, if you are a friend in need.

Dear Tony,
Yes its very good developement, the spaming of ISC mails due to a large quantity. i got daily average 20 mails. its very helpful to update my self. but some time very complicated to manage mails. more time required to delete etc.
i like most the "My alerts" here i understand the updates about my post & other things. Can we develope more with MY ALERT SECTION, here we got each & every updates include forums.

This is very good decision to send mails to only those who have posted any message in forum section. It will avoid extra mails to the members. What happen actually ,some time members do not even open the mails alert from forum section.They simply read the title of the mails and if it is required to give response then only they open otherwise they simply delete all the alerts without opening the mails. So, If members will not open same message from one website then it will be considered as a spam and from next time emails will directly come to the spam section of your email provider.That may be the reason why we are getting trouble.

Therefore,I am requesting all the members to add each and every email id of ISC to their email contact list so that mails will never get into the spam folder. Also,please do not mark any mails as a spam.

I too have thought befiore the response mail from forum for all the responders is unnecessary. But its the time to realize the spam system. Thanks for the clarification . Surely we will cooperate in this.
Members, please send invitation to your friends , near and dears. Please do not send invitation to junk mails. Surely such mails to unknown persons will be considered spam.

Dear Tony Sir, in my view as a Trainee Editor of forum section, it would be advantageous if at least the editors of forum section be allowed to receive alert messages about the new messages posted, if not it will be little difficult to find out the new messages, as you know the messages will be posted by members could not be traced and every time we have to check all threads to find out the new messages posted to check the contents whether copied or relevant, please reconsider atleast in case of forum section editors if possible.

Thanks for the information. I want to know whether it is applicable to forum only or it will also applicable for ask expert section. If we can receive auto generated email by clicking on subscribe to response or these messages also stopped.

Hi Tony,

Thanks for this updation. I was wondering why the alerts were not receiving from ISC Forum as well as in Regional sites.

Suggest to all members - Use Filter system in your email account. If you are using Gmail, then you can filter emails and can give a flag name with colour so that you can read easily and can delete/read/reply quickly.
