Usage of correct grammar most important to form a effective sentence in business writing.
Grammar is a set of rule that govern correct and perfect writing. It is important to write accurately and perfectly in business. To communicate effectively with your customers. You need to ensure you write grammatically correct message.
Aspects of Grammar
The aspects of grammar are as follows:
Subject-verb agreement
Apostrophe
sentence construction
Active-passive voice
Subject-verb agreement
The subject of a sentence is the main person,thing,and idea in the sentence. The verb in the sentence tells you at what the subject does. It is essential fr the subject and verb to agree in terms of number.
A singular subject would go with a singular verb,for example:
The
chairman
is going to a meeting.
A plural subject would go with a plural verb. for example:
The company's
directors
are going to the meeting.
When two or more subjects are included in the sentence,ensure that the verb agree with the subject,for example:
The chairman as well as the directors is going to the meeting.
The chairman accompanied by the directors is going to the meeting.
Exception:whenever the word"and" is used,the subject becomes plural,so a plural verb needs to be used with it. for example:
The chairman and the directors are going to the meeting.
Apostrophe
The presence or absence of an apostrophe can be alter the meaning of a sentence. Apostrophe can be incorrectly used or not used at all when required. An apostrophe indicates contraction, possession,or plural forms . For example:
Contraction:
I can't find the file.
You shouldn't be going against the rules of organisation.
Possession:
The director's secretary has been jailed.
Its hard disk has been damaged.
The manager's file has been stolen.
Plurals:
These assets cost thousands of dollar.
The meetings were very important for decision-making.
The department was set up in the 90's.
the trainees got a 2A's in the test on communication skill set.
Incorrect or no use of apostrophe.
I won't be to meet the deadline.
Gary computer contains some sensitive information.
The company was established in the 80's.
she got 4Bs in her assessment.
Sentence construction
Constructing sentence can be difficult especially when one is trying to communicate a complex matter.
often you construct incorrect sentences with the subject and verb far apart. For example:
I have a cake in my lunch bx that my brother baked.
I am going by car to the office that my father gave.
At times our sentence remain fragments,we do not complete them in terms of meaning.
Active and passive voice
The main verb in the sentence can be either in active or passive voice. In the active voice the verb directly links to its subject while in the passive voice it is indirectly linked to its subject. the following are examples of the active and passive voice.
Active voice: "The chairman thanks for your contribution to the organization"
Passive voice:"all of you are thanked by the Chairman for your contribution to the organisation".
The tone of a sentence largely depends on whether your you use the active or passive voice.
Active voice is preferred because it is direct. for example:
" I have forwarded the policy to you this morning by e-mail"
"June is making a change in the content of the presentation"
passive voice can be used only when the subject who performs the action is not important but the action is important. For example:
"A mistake has been made by the accounts department"
' A file has been handed over for competition"
