Sample email format for applying bank statement
Writing a formal email with correct details and without any mistake is a skill. Formal or the business emails should follow certain norms. So this session I had included some formal email writing tips and also a sample email format for applying bank statement to the Bank manager.
We may need to apply for bank statement in many occasions for example, when the person or the student is traveling aboard for VISA processing bank statement is needed, or when the person is building a new house and trying to get a loan from a particular bank, bank statement is needed or if the person is applying for credit card facility bank statement is needed. So in this session let's see about how to write a formal email to the bank manager for requesting bank statement.
Any formal email should have the basic formatted things as given below-
The date and the place should be mentioned on the top of the letter either left or right hand side.
Complete address details of the person has to be mentioned in the from address column so that it will be easy for the bank manager to sent the statement.
We can use either Dear/Respected sir for addressing the Bank manager.
The subject of the email should contain the complete details and it should be a short one.
The reason for requesting the bank statement has to be mentioned.
From date and to date up to which the statement is required has to be clearly mentioned.

Subject - Request for Bank account statement.
Account number information – 00913094950987
I am an account holder of your bank and my reference account number is given above. I need bank account statement for the period from 01-Jan-2012 till June 30th 2012. I have to produce the same bank statement for my VISA interview process which is going to happen on July 13th 2012. It will be great if you could consider this request as an urgent one, which will help for my visa interview. So I need the complete bank statement for the above mentioned period from your bank.
Kindly consider this as special request and process the same. Please send the bank statement to the above mentioned address.
Tips for writing a perfect business email
Please note that the person whom you are writing an email will be dumped with email daily. So the email which we are writing should not run for 2-3 pages. The email that is written by us should be short, crisp and should directly get into the point about the topic, so that if the person who reads this email should be able to recognize the content of the email within 2-3 mins.
The spellings and the grammatical mistakes should be corrected before sending the mail. Please enable the spell checker and grammar checker, so that we can avoid the spelling mistakes while composing.
Also we should make sure that the sentence and fully complete and it is understandable to the reader.
After first email, if we are not getting any response then we can again mail them like ‘ Just a gentle remainder’.
Double check the date, time , address and location details before mailing them rather than resending the mail. If suppose the email which is sent by us is not with correct details then the sender can resend the email saying like’ please ignore the below email’.
Even after mailing for 2-3 emails and if we are not getting any response then we should not use any flowery or colloquial language or un authorized words, rather than that we can approach the help of the nodal officer by mailing him all the details.
If we are not aware of the person to whom we are writing an email and also if their position is higher than us then rather than addressing the person with their name, we can address them as Sir/madam
If we are requesting service like mentioned in the above sample email then, kindly highlight the email with proper wordings and we should make the request very clear.
If we are focusing on any complaint or issues then we have express it with dissatisfaction rather than using colloquial or rude language
Some important emails or the complaints will be preserved by the user, so while sending we should not add any attachments or huge pictures as logo.
