VACANCY LEIIb, CHENNAI: CONSULAR ASSISTANCE OFFICER AT THE BRITISH DEPUTY HIGH COMMISSION

1. The British Deputy High Commission, Chennai has a vacancy for a Consular Assistance officer. The position is on a two-year renewable contract. The successful candidate will be part of a small team in Chennai reporting to the Head of Consular section.

2. This is an exciting opportunity to be part of a small, high performing team making a real difference to people’s lives, often during times of real distress. It calls on someone who is highly motivated and has the ability to deal with the full range of people and situations.

3. Main purpose of the job:

(a) Providing assistance to British nationals – including replacing lost passports and helping people who have been assaulted, arrested, hospitalised and bereaved
(b) Handling Counter Duty, including any distressed British nationals who walk through the door
(c) Helping spread communication material to British nationals to try and help them avoid difficulties in the first place.
(d) Maintaining Prisoner statistics and Distressed British National accounts
(e) Maintaining and updating Duty Officers’ folder, British Community database (LOCATE) & Contacts Database – ensuring that we have the systems in place to deal both with future cases and with crises.
(f) Using Management Information System & Compass.
(g) Ensuring reconciliation of all payments by cash and credit card, preparation of Consular cash certificates, completion of Management Information on a regular basis

4. Key responsibilities include:
(a) Handle full range of assistance cases to British nationals in an effective and timely manner. Keep the Compass database updated regularly with all the consular assistance cases.
(b) Ensure contacts database is up to date
(c) Process & record accurately all transactions related to Distressed British Nationals accounts (incl. prisoner accounts) within 24 hrs of receipt.
(d) Open and maintain Assistance case chronologies on new and current cases and update them as soon as new information is received or any action taken on the case.
(e) Provide backup for colleagues as required.
(f) Ensure LOCATE (our British Community database) is updated with new registrants as soon as their details are received
(g) Handle cash and credit card certificates, Management Information System

5. The successful candidate will ideally :

(a) Be a graduate with at least 2 years of relevant experience (candidates without the required academic qualifications but with exceptional practical experience will be considered).
(b) Have at least two years of staff management experience.
(c) Be a self-starter with high standards of written and spoken English;
(d) Be able to deliver high quality work to deadlines.
(e) Cater to customer needs with a strong customer focus;
(f) Adapt to immediate and long term changes in priorities;
(g) Be a team player who is resilient and supportive to colleagues, even when working under pressure;
(h) Have good interpersonal & time management skills
(i) Have a keen eye for detail and accuracy.
(j) Have a good working knowledge of Windows based systems and MS Office applications.

6. Key competencies required (all weighted equally):

The selection process will be competency based. The successful applicant will need to demonstrate strengths in each of the competencies referred below, with examples, in the attached job application form and at the time of interview.

7. The starting salary will be Rs.37,336/- per month. Other benefits include:

(a) Working on interesting and challenging cases which allow you to help people during difficult times.
(b) Working hours: 40 hours / 4.5 days a week - 0830 to 1630 Monday to Thursday and 0830 to 1330 on Friday
(c) Participation in a competitive medical, provident fund and super-annuation scheme
(d) Annual leave entitlement - 21 days per calendar year
(e) Local and British Public holidays
(f) (CTC to company is in excess of 5 lakhs per annum
(g) Eligibility for regional rewards schemes and regional travel (the rest of India, Bangladesh, Pakistan, Nepal, Sri Lanka and Afghanistan)

8.
