In the corporate world, it is a culture to go out for team parties. Some organizations have fixed quarterly budget per person for these parties. Usually a SPOC (Single Point of Contact) is nominated from within the team for taking these initiatives. His responsibilities are to find out the restaurant within specified budget; coordinating with the team members; negotiating for discounts from the restaurant owner; fixing the date and time of the party etc.
Such outings are necessary for strong team building. Most of the people are busy in their routine work and get less time to interact with each other. Such parties offer a chance to meet and understand people within the team specially when the team size is very large.
Senior management is also involved at times in such parties and it is a good chance for them to mix up with the team members. They also try to find out the problems/challenges that the team faces, their aspirations etc.
The Project Manager or the person who is leading the team writes e-mail for the team party. Refer to the sample given below.
It has been a tough and a hard year. It would be a pleasure to have the team of Sales and Marketing get together.
Let us all go out and have a nice dinner evening out on the Friday 23rd of July 2010.
We need to let the restaurant know the actual number of persons who will attend, so can you please let Taran know whether you can attend or not on this day latest by tomorrow the 22nd of July.
