Administrative Assistant

Major Duties and responsibilities:

. Follow-up of all administrative financial issues in the sub-region, including: -

• To compile and provide the daily travel status of the SRCs and maintain travel requisition records for DMCs and DUCs
• Checking & verification of Claims/Bills/Accounts and expenditures.
• Claims/Accounts to be checked for accuracy, genuineness of bills, violation of guidelines, and conformity with approval.
• SIA monitoring Data Compilation and Analysis for social mobilization, communication and operational components. The data work will be quite substantial and shall constitute around 30% of the work.
• Coordinate & Monitor payments
• Liquidation of advances.
• Provide admin support to the sub -region as and when required.
• Support logistic arrangement for meetings and workshops.
• Compile & submit the Tentative /monthly activity report of field functionaries at the end of every month.
• Conduct periodic field visits to ensure financial compliance.
• Checking of all Mobility/Contingency/DSA/Telephone claims and IEC/ Training/ Poster Pasting expenses submitted by SRC/DMCs/DUCs/BMC on timely basis and forward it to IPE within the given time frame.
• Checking claims/accounts along with a summary sheet with observations of discrepancies, if any, recommendations for deduction/corrections, as necessary, to be submitted to IPE.
• Timely forwarding of checked & certified claims and accounts to IPE.
• Regular follow up with DMCs/TC/DUCs/BMC for timely submission of claims and other reports.
• Keep track of leave taken by DMC/DUC/TC/BMC and consolidate the same.
• Keep track of office assets
• Maintenance of office property and premises
• Any other assistance as per need of programme


Minimum requirements:

• Completion of bachelor's degree in Commerce
• Minimum two years experience in finance and administrative matters
• Working knowledge of computers
• Good writing and typing skills in English and Hindi
• Ability to handle office correspondence independently.
• Qualified and Experienced candidates in office management/administration/ Data Management
• -Should be well versed in MS –OFFICE specifically in Ms Word, Ms Excel, Ms Power Point
