Preparations to conduct CBSE examinations
Conducting CBSE examination is a difficult task. The Centre superintendent holding the full responsibility of conducting the examination smooth, fair and impartial.
How to conduct the CBSE examinations.
The CBSE, examinations are usually conducted in the month of March and April. This is a challenging task for the Centre Superintendent (CS) and the Assistant Superintendent. Many Cenre Superintendents proved their talent in conducting smooth and fair examinations. The CBSE have already fixed few schools having adequate facilities as their examination centre and allotted them with Centre Number. In the mid or late february, CBSE used to release a list of Centre Superintendent for each centre at the recommendation made by the Directorate of Education. The CBSE has cleared everything over the conduct of examination in the Manual for Centre Superintendent.
I used to lay few tips for easy conduct of the said examination to thier at most satisfaction. The whole process can be divided into 4 stages.
First Stage : ( 1 week ahead )
Receiving of Appointment letter as a Centre Superintendent.
As soon as receiving a appointment letter as a Centre Suprintendent, If you are willing to act as a CS then it is mandatory to submit the Acceptance Letter to the Regional Officer depicting that 'None of my relative appearing in any of the centre in the same year'. Otherwise you can deny to perform as a CS with valid reason. After accepting the offer to act as a CS, you must make a visit to the concerned centre at least once in advance. It will be much better if you meet the Principal of that school and discus about furniture in stock, available rooms, water connection, electricity connection etc. It is advisable to choose suitable room for Centre Superintendent Office. Rooms should also be selected with reference to the total enrolment. As per the CBSE norm 20 students can be seated in a room and one Assistant Superintendent should be placed on duty.
Making necessary Rubber stamp seals/metal seals.
You can make some Rubber Stamp like
1. Rubber Stamp for Centre Superintendent.
2. Course-A, Course -B seal.
3. Core, Elective Seal
4. Fascimile Signature seal of the CS.
5. Metal seal for packing.
Second Stage : ( 4days ahead )
Collection of Centre Materials.
The necessary Centre Materials can be collected from the Principal of the concerned centre on production of appointment letter issued from the CBSE. The centre material cover contain
1. Student Attendance Sheets.
2. CBSE - 66
3. Consolidated Attendance Sheet.
4. Slip for metal seal impression.
5. Consolidated Absentee statement.
6. List of Candidates.
7. CBSE - 57 B
8. Bills of Centre Charges.
Among these items everyone is important but CBSE-66 is the most important. It is a format showing number of students enrolled for each examination. This should be sent to the CBSE with the answer books everyday.
Collection of Question papers.
Question paper should collected from the Principal of the concerned school which is fixed as centre. Usually, the question paper reaches the school 10 days in advance. All of that question papers are stored in the police or bank custody by the principal of the school fixed for the centre. It is instructed to the Principal that these question papers should be handed over to the Centre Superintendent whenever he comes to the school and ready to take over the question papers. For handing over these question papers, both the Principal and the Centre Superintendent have to go to the Police station. Their handing /taking over of the question paper will be done in the presence of the Sub-Inspector or the SHO. After taking over the question paper, the Prncipal has no right over these question papers. Then onwards, CS will be allowed to take the quesion papers of the day only from the SHO.
A detailed letter to SHO should also be given with detailed Number of students taking examination on a particular day. The subject and date of examination should be mentioned over for information to the SHO.
Letter to Post Master :
A letter to Post Master should be given requesting him to extend the parcel receiving time. All the answer books of a particular should be despatched on the day only.
Appointment of Staff.
The Centre Suprintendent should appoint sufficient number of Assistant Superintendent/ Clerk /Peon for the smooth conduct of the said examination.
Third Stage : ( previous day )
Pre-Preparatory work :
On the previous day, everything should be intact. It is the duty of the CS to be well planned in all aspects of the examination.
1. Ready with Seating plan.(5copy-1copy for pasting in the entrance, 1-copy for pasting in the room of examination, 2-copy to be sent to CBSE, and the remaining 1copy with the CS.
2. Benches/Desks should be lined as per the seating plan.
3. Arranging the Attendance Sheet room wise.
4. Purchasing necessary stationaries.
5. Making a duty register.
6. Receiving Answer books, Supplementrary Answer Books etc.
7. Making register for keeping the record of Answer paper (class X and XII )separately, Supplementary Answer books.

9. Bifurcating blank Answer Books room wise / Attendance sheet room wise.
Fourth Stage :
On the day of examination
the very beginning task is collection of question paper from the Police Station.
1. Briefing Assistant Invigilators with main points to be adhered to.
2. Filling the necessary entries over the covers.
2. Pasting of Seating Plan at the entrance by the Peon.
3. Other copy of Seating Plan given to Invigilators for writing over the Desks.
4. Breaking the seal of question papers infront of the invigilators.
5. Directing the Invigilators to move towards their respective rooms
The answer papers should be issued to the student before half an hour to the commencement of examination. The question paper should be issued at 15 min prior to the commencement of examination for reading only.
6. Completing official work
While the examination is going on, collect the absentee statement in the formate of seating plan from all the rooms and consolidating you will get the total absent and present. Subsequently, these information is to be noted over the CBSE-66 in triplicate.
7. Receiving the Answer papers
As soon as the examination finishes, the Assistant Superintendent will collect all the answer books serially and handed over to the Clerk for compilation. All the answer books must be counted carefully, no answer book should be left out.
8. Packing the papers.
All the answer books should be made roll no wise then divided century wise. A slip is to be inserted in each century depicting total no of copies in the bundle. All these century bundles again made into a single bundle. It is better to wrap the bundle by newspaper. After that this bundle can be packed by a cloth and stitching at the joints. Red colour ink is to be used for Class X answer books and with Blue ink for Class XII for writing address over the packet. Using different colour is only to identify at the secrecy centre.

9. Posting the parcel.
Finally, the parecel is ready for posting at the post office.
