Mistakes to avoid while applying for passport

Are you planning to apply for reissue or fresh passport?Have you got your documents in order? Please read on to find out what all mistakes you should avoid to get your application accepted in the first go itself.

These days the application for passport has become online. Our government has created the passport seva online portal. Through this we can book our appointment at the prescribed passport office/passport seva kendra of our state of residence and pay the fees online as well. One can even feed in their particulars to find out what all documents you will need to carry with you. Well lets say you have done the above - fixed an appointment, checked out what all documents you need and got them in order, have reached the office and are now waiting in line. What I list below are some of the mistakes/problems you may make/face when you apply for your passport. Avoiding these mistakes can help you get your passport without multiple trips to the passport office.

1. Annexures you need to make

The online service in the passport seva website for finding out documents required doesn't give you a list of the annexures you need to make for your case as well. Therefore, kindly go through the entire list of annexures to find out which all are applicable in your case. All of them require certifications, therefore making them requires some amount of time. So look ahead, make them much in advance of your appointment date.

2. Affidavit Annexure F

If you are applying for tatkal reissue/renewal of your passport then it is essential to carry Annexure F. However, what is not mentioned in the website is that you need to have 2 original copies of Annexure F made. Both the original copies will be submitted at the time of your appointment. If you have only one copy, your application will be rejected. Keep a photocopy of each original with you for safekeeping.

3. Attestations on documents

Any document that contains a photo of you, should have the attestation that partially covers the photo. This is especially true for the annexures/affidavits. Attestation can only be done by a gazetted officer who has a seal with their name on it along with the name of the organization they are a part of. Other than the seal, the signature of the officer should also be present at every place where the seal/stamp has been used.

4. Documents that don't work as Address proof

The list of documents acceptable as address proof given in the official website includes things such as landline bills, gas connection/water connection bills etc. However, what they have failed to mention is that these bills should be from a government sector company only. Therefore, only BSNL or MTNL landline bills are acceptable. If you take an Airtel/Vodafone etc. landline bill, it will not be accepted and you will be required to furnish some other address proof. Same applies to water bills and gas bills. They need to be from a government sector company.

5. Originals are indispensable

If you don't have the original of a particular document, don't count on it to be accepted. Photocopies or pictures of the original documents are not accepted. If you don't have the original on the day of the appointment or can't acquire it by the day of the appointment, then it is best to postpone the appointment instead of going to the seva kendra and wasting your own and other's time. Check the list of documents acceptable and see if you can use some other document instead of it.

6. Carry photocopies

Carry two sets of photocopies of all your documents with you. Though there usually are photocopy facilities in most passport seva kendras, however it is best to get them done beforehand and carry with you to avoid wastage of time. In order to process your application, two photocopies of each document are required, therefore it is better to have them ready.

7. Date of Birth proof

For anyone born after 1995, it is essential to have a birth certificate issued by the municipal corporation as proof of date of birth. If you don't have it, then get it made. Having a class 10th marksheet won't be sufficient. For those born before 1995, both birth certificate as well as class 10th marksheet can be used as proof of date of birth. If you are only getting your passport renewed, then you won't require this as your old passport will serve as proof of date of birth.

Bonus tips

a. Don't take your family along with you to the appointment.

For those living in a small town/city where passport seva kendra is not present, going to the appointment means going to a different town. However, do remember that no one except those who are applying are allowed inside the passport office. So instead of bringing your family along and then have them wait outside, it is better to come alone for it.

b. Your old passport will be cancelled.

If you are going for reissue of passport, then do know that your old passport will be cancelled at the time of accepting your application for reissue. You can not use your old passport while waiting for the new passport to arrive. So make sure you don't plan anything that requires the use of a passport during the interim time.

c. Your photo and fingerprints will be taken the same day.

If your documents are in order and your application is accepted then you will proceed to get your fingerprints and photograph taken for the passport. So if you care about how you appear in the photograph, this is just advance tip that be prepared to get clicked the same day.

Passport offices have become more helpful and user friendly nowadays. This I infer from the pleasant experiences narrated by my friends and relatives who applied for and got passports recently. I heard it from those who applied in Kerala. I guess it will be similar in other places also.

With reference to the point)a) of taking family, I heard that they allow an escort or support for nursing mother, physically suffering person etc with proper verification of identity and genuineness. In the more secure areas the passport office has guides and helping staff.

Yes applying for Passport has become necessary for those who are aspiring for foreign studies and jobs overseas. But often, many, due to ignorance won't have proper planning and thus end up with lots of mess after getting the appointment at the regional passport office. In Hyderabad, the RPO has engaged the services of ex-servicemen, who are guiding and helping the new comers seeking passport and thus they can save lots of time and money by approaching them. I do not know whether such arrangements are there in other places across the country. Brokers do disturb by promising early passport. Never believe those promises. You have to go and do all the needful to get the passport in time.
